That's where you come in. We’re looking for an experienced writer and team leader to help produce high quality proposals and execute the process from request to submission. This is an opportunity for an experienced proposal writer, coordinator, and manager to facilitate the development and submission of proposals for government, nonprofit, and business clients. We need a smart, organized, obsessively conscientious administrator with experience in contracting and procurement, preferably on behalf of a professional services firm, who can lead a small team while staying hands-on in the work. Experience in producing proposals for communications and marketing contracts is a plus.


This is a hybrid role, requiring at least two days per week on site at Reingold’s headquarters in Alexandria, VA. 


Here’s the work you’ll do: 


Essential Functions:
  • Oversee the process of developing proposals from a go/no-go decision through outlining, assignments, management, writing, and submission.  
  • Prepare pricing templates consistent with all RFP, master contract or GWAC rules, and client procurement regulations. Ensure pricing is consistent with the technical solution. 
  • Independently execute all aspects of the proposal process, from identifying and vetting an opportunity through completion and delivery. This includes creating graphics, writing and editing content, proofreading proposals, formatting documents, maintaining version control, and ensuring compliance with submittal guidelines and Reingold standards. 
  • Independently manage subcontractor participation to ensure that all subcontract proposals are delivered on time and meet RFP and strategic requirements. 
  • Use contract and client documentation and coordinate with client-facing staff members to develop and maintain a proposal response library, ensuring a consistent and systematic process. 
  • Research public sources, including government contract records, to outline Reingold’s likely competitive position on bids. 
  • Under time pressure, analyzing RFPs to determine whether Reingold is in a position to submit a bid.  
  • Partner with other departments to develop and package thorough, efficient, timely, and consistent responses to RFPs, RFIs, and RFQs. 
  • Communicate with company leadership, proposals specialists, and other partners to ensure alignment with business needs and strategies. 
  • Supervise and mentor a small proposals team.

This role is a good fit for someone with these qualifications, experience and skills:


Required Qualifications: 
  • Bachelor’s degree in English, Communications, Business, or a related field, with 6+ years of demonstrated experience writing high-quality, competitive proposals or an equivalent combination of education and experience 
  • Experience in all aspects of time and materials and fixed-price contracts. 
  • Demonstrated ability to coordinate cross-departmental schedules and allocate resources efficiently to meet proposal requirements 
  • Experience supervising and mentoring staff

Preferred Qualifications: 
  • Experience in all aspects of time and materials and fixed-price contracts
  • Experience writing proposals for federal or other government agency clients 
  • Proficiency in creating and delivering high-impact and persuasive presentations 
  • Ownership and accountability of projects with detailed requirements 
  • Motivated to learn quickly and deliver high quality work 
  • Experience using AI tools to support work and streamline processes

Supervisory responsibilities: This position may supervise one or more employees.  


Work environment and physical requirements: Prolonged periods sitting at a desk and working on a computer. Must be able to lift up to 15 pounds
